# Personal Task Management

## Purpose

This guide explains how to create, organize, update, complete, and share personal tasks in OrbitOverflow.

## Who Can Use It

- Personal users
- Organisation users creating non-team tasks for their own workspace

## How To Open It

Personal task actions start from the dashboard and submit through the task action workflow.

## Main Actions

- Add a personal task
- Edit a task
- Attach images
- Add checklist items
- Reorder checklist items
- Share a task with a friend
- Mark a task complete with actual time
- Delete incomplete tasks

## Create A Personal Task

When adding a task, you can set:

- Title
- Description
- Task date
- Category
- Priority: Low, Normal, High, or Urgent
- Status
- Estimated duration in hours and minutes
- Checklist items
- Image attachments

### Recommended Steps

1. Open the task creation form from the dashboard.
2. Enter a clear title.
3. Add a description if extra context is needed.
4. Choose the correct date.
5. Set priority realistically.
6. Add category tags that support filtering.
7. Add estimated time if you want reporting to compare planned versus actual work.
8. Add checklist items if the task has multiple steps.
9. Upload images if the task needs visual reference.
10. Save the task.

## Edit A Task

You can edit an incomplete personal task to change:

- title
- description
- date
- category
- status
- priority
- estimated duration
- additional checklist items
- additional images

## Checklist Management

Checklist items support detailed execution.

Available actions:

- add a single checklist item
- add multiple items from text
- mark an item complete
- reopen an item
- delete an item
- drag and drop to reorder items

## Attachments

Personal tasks support image uploads.

Attachment rules:

- accepted types are image files
- large files may be rejected
- uploaded images are stored with the task and can be removed while the task is still editable

## Complete A Task

1. Open the task.
2. Enter actual time spent if you want tracking accuracy.
3. Mark the task as completed.

When a task is completed, OrbitOverflow locks it.

## What Locking Means

Completed tasks are locked. Once locked, the system prevents:

- editing the task
- deleting the task
- sharing the task
- removing task images
- other update actions that would change the record

This protects the finished work history.

## Share A Task With A Friend

A personal task can be shared with an existing friend.

1. Make sure the task is still incomplete.
2. Open the share action.
3. Select the friend.
4. Confirm the share.

The other user receives a notification and can open the shared task workspace.

Important:

- only personal tasks can be shared this way
- the target user must already be your friend
- completed tasks cannot be shared

## Delete A Task

You can delete a task only while it is incomplete.

Use deletion carefully, because deleted task content is removed from your active workspace.

## Recommended Personal Workflow

1. Capture the task as soon as work appears.
2. Split larger tasks into checklist items.
3. Set a real priority.
4. Update the status as the task moves forward.
5. Track actual time at completion.
6. Share the task only when collaboration is needed.

## Rules And Limits

- Task title is required.
- Invalid priorities are normalized to a safe value.
- Completed tasks are locked.
- Only personal tasks can be shared with friends.
- Images can only be removed while the task is still editable.

## Troubleshooting

### I cannot edit or delete a task

The most common reason is that the task is already completed and locked.

### I cannot share a task

Check the following:

- the task is personal, not a team task
- the task is not completed
- the selected user is already your friend

### My checklist order did not change

Drag-and-drop reorder only works when the checklist contains more than one item and the page saves the new order successfully.

## Best Practices

- Use High and Urgent priorities sparingly.
- Add actual time only when the work is truly done.
- Keep categories consistent so filters and reports stay useful.
- Prefer checklist items over long descriptions when the work has clear subtasks.
